DIGITAL PICK & PACK

Food Warehouse Picking Software: Digital Pick & Pack on a Tablet, No Paper

Digital Pick & Pack replaces printed pick sheets with a tablet workflow built for food warehouses: a picking board with a column per picker, waves built for you from released orders, big readable line items, one-tap shorts and substitutions, and a pack check before anything goes on the truck. Invoices update automatically to match what was actually packed.

  • Works on the tablets you already have — and scan-to-pick with barcodes on Enterprise when you want it
  • Shorts and substitutions flagged in one tap, invoices adjust automatically
  • 80% fewer picking errors than paper lists

Paper pick lists are where good orders go wrong

Printed sheets are out of date the moment an order changes

Shorts scribbled in a margin never make it to the invoice — so you invoice for stock you didn’t send

No record of who picked what, so repeat mistakes stay invisible

Substitutions decided on the fly with no customer trace

From Order to Truck, All on Screen

1

Orders become picking waves

The wave builder suggests waves from released orders — each run kept together, chilled and frozen split, every wave capped by minutes and orders.

2

The board hands out the work

Drag waves onto pickers, or let auto-assign do it. The top card is the next job on that picker’s tablet, with large, readable line items and tap or scan to confirm.

3

Shorts and subs in one tap

Short a line or substitute a product; the order, the customer’s paperwork and the invoice all update automatically.

4

Pack check, then dispatch

A final check confirms the order is complete before it’s marked ready and flows to delivery runs and invoicing.

Built for warehouse reality

Big fonts, high contrast, glove-friendly targets — the picking screens are deliberately designed for tablets in coolrooms, not desks. Supervisors run the floor from a picking board and a packing board, one column per person.

  • Drag to reprioritise or reassign; urgent waves starred
  • Pick by area: Dry Store, Chiller and Freezer picked in parallel, freezer last
  • Bench screen for packers, with labels printed from the packing board

Shorts that fix the invoice, not just the order

Mark a line short and the invoice reflects what actually shipped — no more crediting customers after they call about missing stock they were billed for.

Substitutions with a paper trail

Swap in a substitute with one tap. The change is recorded on the order so the customer, the driver and the invoice all tell the same story.

Pick the right lot, automatically

With lot and expiry tracking on, pickers are directed to the earliest-expiring lot first (FEFO) — stock rotation happens by default.

Paper can’t update; a warehouse ERP is overkill

A printed list is frozen the moment it leaves the printer — every change after that lives in handwriting. At the other extreme, standalone warehouse systems cost more than your ordering platform and still need integrating. Digital Pick & Pack sits in the middle deliberately: warehouse-grade picking that’s already connected to your orders, stock, invoices and deliveries, because it’s the same platform.

Questions Suppliers Ask About Digital Pick & Pack

What is pick and pack?+
Pick and pack is the warehouse process of collecting the items on each customer order (picking) and preparing them for delivery (packing). Digital pick and pack software replaces printed pick lists with a tablet workflow that tracks each line, records shorts and substitutions, and updates invoices to match what actually shipped.
Do I need barcode scanners or special hardware?+
No. Digital Pick & Pack runs on standard iPads and Android tablets — most suppliers use the tablets they already own, and pickers can tap lines to confirm. When you want more certainty, scan-to-pick on Enterprise confirms each line by barcode, and a connected bench scale can read catch weights straight into the line.
What happens when a picker finds we’re short on a product?+
They mark the line short in one tap. The order updates, and the invoice is generated from what was actually packed — so the customer is never billed for stock that didn’t ship, and no one has to remember a margin scribble at invoicing time.
Can pickers substitute a product, and does the invoice update?+
Yes. Pickers can substitute an item during picking; the substitution is recorded on the order and flows through to the customer’s paperwork and invoice automatically, so everyone sees the same final order.
Is there a final check before orders go on the truck?+
Yes — orders go through a pack/check step before being marked ready for dispatch, catching missed lines while they’re still fixable rather than at the customer’s door.
How do orders get to the picking screen — do I still print anything?+
Nothing. Orders from your app, store and AI Order Capture land in the picking queue automatically and are grouped into waves. Changes to an order update the screen — the reason paper can’t compete.
Can multiple pickers work at once without doubling up?+
Yes. The picking board gives every picker their own column of waves, in the order they should be done, so two people can’t pick the same order twice. Moving a wave someone has already started asks for a hand-over confirmation, and auto-assign can share out new waves for you.
Can several people pick one order across chiller, freezer and dry store?+
Yes — switch on pick by area. Each wave splits into one job per storage area, so different people pick the Dry Store, Chiller and Freezer lines of the same order at the same time. Freezer jobs can wait until the rest of the wave is picked, so frozen stock spends less time out of the cold, and the wave moves to packing when the last area is done.
Does Open Pantry build the picking waves for me?+
It suggests them. The wave builder groups released orders that aren’t in a wave yet, keeps each delivery run together, splits chilled from frozen and caps each wave by minutes and number of orders. A group containing an urgent order becomes an urgent wave, and you can have waves built automatically at your order cut-off.
Can picking be organised by storage zone or delivery run?+
Yes. Pick lines are organised by storage zone so pickers move through the warehouse logically, and finished orders flow into delivery runs for loading in drop order.
How do short-picked items affect stock levels?+
Stock decrements reflect what was actually picked, and shorts feed your stock intelligence — persistent shorts on a line are a reorder signal.
Does it work for mobile/tablet use in coolrooms?+
Yes — the picking screens are designed mobile-first with large fonts and touch targets that work with cold hands and gloves. It’s a warehouse tool that happens to run on a tablet, not a desktop app squeezed onto one.
How long does it take to move my warehouse team off paper?+
Typically days. The workflow mirrors what pickers already do — walk, pick, confirm — so training is minimal. Most teams run one shift in parallel with paper and don’t go back.
What does it cost?+
Pick slips and order fulfilment are included from the Free plan, with the full digital workflow on Pro — see our pricing page.
