Can I change my prices when the market changes?
Yes, and the change is immediate. You can edit a line directly or re-upload the price sheet you already keep — Open Pantry matches it to your existing products and updates them. There is no scheduling: the price you set is the price your customers see from that moment, which is what you want when the market moved this morning.
Can different customers pay different prices for the same product?
Yes. Customers can sit on a shared price list, and any single customer can hold their own price on any individual product. You maintain one catalogue, not one per account, and the right price follows the customer into their cart, their order and their invoice.
Do my customers have to use an app?
No. Venues can order through your own branded app and online store, or keep emailing and texting exactly as they do now. Every route lands in the same order list, so you are not running two processes while your customers move across.
How do standing orders work?
You save a customer’s repeating products and quantities once, and Open Pantry creates the real order for them every 7, 14 or 28 days. Each time it runs it applies the current prices and re-checks the account, so a standing order never places on a stale price or against an account on hold.
Can I set an order cut-off so the phone stops at a sensible hour?
Yes. You set a cut-off time and which days you deliver, and you can vary both by day of the week and per customer — including a delivery window and a minimum order value. Orders after the cut-off go to the next delivery day rather than onto tonight’s truck.
How does Open Pantry handle short shelf life?
Lot and use-by are tracked against the carton, and pick lists are ordered first-expired-first-out, so the oldest stock goes out first without anyone deciding. That reduces what gets written off and makes traceability a search rather than a paperwork exercise.
What happens when we are short on the day?
Shorts are recorded at pack rather than discovered at the door. The customer is billed for what actually went on the truck, and the gap between ordered and picked is visible to your team before the delivery leaves — which is when it can still be substituted or explained.
Does it connect to my accounting system?
Yes. Invoices sync to Xero, MYOB AccountRight, QuickBooks Online and eight other ledgers, mapped to your own account codes and GST treatment — including the GST-free treatment fresh produce needs alongside a taxable freight line.
