Food Safety & Recalls: Checks, Records and Lot Recalls Where Your Stock Already Lives

Open Pantry’s food safety area helps food wholesalers keep their food safety records in the same system that holds their stock, orders and deliveries. Scheduled checks run on a phone with limits and corrective actions, every receipt gets a goods-in check, drivers record delivery temperatures, certificates remind you before they expire, and a recall starts from the lot — listing every customer who received it and tracking each one until they confirm.

  • Daily and goods-in checks on a phone, with a corrective action whenever a reading fails
  • Start a recall from a lot: affected customers are listed, emailed and tracked until they confirm
  • Append-only records and a one-click auditor export as PDF or CSV

Food Safety Records Shouldn’t Live on a Clipboard

Temperature sheets in the coolroom get wet, lost or filled in at the end of the week

A recall lands on a Friday afternoon and nobody can say quickly which customers got the lot

Supplier certificates expire quietly until an auditor or a customer asks for them

Pulling three months of checks for an audit means a week of digging through folders

How Food Safety Works in Open Pantry

1

Switch on what you need

Turn on goods-in checks, daily checks, recall notices, certificates, mock recalls and allergens one at a time — nothing changes until you do.

2

Checks come due on the Today list

Each check has its own schedule, role and limits. Today shows what is due, what is overdue and any open corrective actions.

3

A failed reading raises an action

Over the limit means a corrective action to record and close, and on receipt the line can be accepted, rejected or held.

4

Everything lands in one log

Checks, goods-in, delivery temperatures and recalls are stored as append-only records, ready to export for your auditor.

A goods-in check on every receipt

When a purchase order is received, the goods-in check records the truck temperature and cleanliness, then each line’s temperature, packaging, label, lot and use-by. A line that fails can be accepted, rejected or held, and a rejected line emails the vendor automatically.

  • Runs inside the normal PO receive
  • Rejected lines email the vendor

Recalls that track every customer

Start a recall from the lot. Open Pantry traces every customer who was sent that stock, walks you through reason, risk and action, and emails each customer a link to a confirm page that needs no login — quantity on hand, what they did with it and an optional photo. The tracker shows who has opened and confirmed, with chase, call notes and a PDF report when you close it.

  • Lot trace through picking and invoicing
  • Destroy or return-to-vendor recorded against the stock

Daily checks and delivery temperatures

Build check templates with a frequency, a schedule, a role and limits — coolrooms, freezers, cleaning, vehicles. Staff complete them on a phone, even without signal, and a supervisor signs off. On the road, drivers record the van and product probe temperature at the drop, and the reading is saved to the order.

  • Limits and corrective actions on every check
  • Offline queue that syncs when back online

Certificates, allergens and mock recalls

Keep your own and your vendors’ certificates with expiry reminders at 60, 30 and 7 days, and send a vendor a link to upload a renewed one. Record allergens, may-contain warnings, storage and origin on each product. Run a timed mock recall drill that reconciles quantities and saves the result for your records.

  • Vendor upload links — no login for the vendor
  • Mock recall drills saved as records

Why not keep the paper folder?

Paper records sit apart from the stock they describe. When a recall comes, someone has to match lot numbers to invoices by hand and ring every customer, and the confirmations end up in an inbox. In Open Pantry the lot, the customers who received it and their confirmations are one record — and the same log holds every check your auditor will ask for.

Questions Suppliers Ask About Food Safety & Recalls

What does Open Pantry’s food safety area do?+
It keeps your food safety records alongside your stock: scheduled checks with limits and corrective actions, goods-in checks when you receive a purchase order, delivery temperatures from the driver app, certificates with expiry reminders, allergen and specification details per product, mock recall drills, and lot recalls that track every affected customer until they confirm.
Does this make my business compliant?+
No software can do that on its own. Open Pantry helps you keep complete, time-stamped records and makes them easy to find and export. Your food safety program, limits and procedures are still yours to set and follow, and you should check your limits against your own plan and local requirements.
How does a recall work?+
You start it from the lot. Open Pantry lists every customer who was sent that lot, you choose the reason, risk, level and action, and each customer is emailed a link to a confirm page that needs no login. The tracker shows who has opened and confirmed, lets you chase or log a call, records destroyed or returned stock, and produces a PDF report when you close it.
Do my customers need an Open Pantry login to confirm a recall?+
No. The recall email links to a public confirm page tied to that recall. The customer enters the quantity they hold, what they did with it and an optional photo, and their confirmation appears in your tracker straight away.
What is recorded in a goods-in check?+
The truck temperature and cleanliness, then each line’s temperature, packaging, label, lot and use-by. A line that fails can be accepted, rejected or put on hold. Rejected lines email the vendor, and the receipt itself still goes through your normal purchase order receive.
Can staff complete checks without mobile signal?+
Yes. Checks are completed on a phone or tablet, and if the device is offline the results are queued and sent when it reconnects. Each check can require a supervisor to sign off.
Can records be edited after they are saved?+
Records are append-only. If something was entered wrongly you add a correction, and both the original and the correction stay in the log — which is what an auditor expects to see.
How do I give records to an auditor?+
Filter the log and export it as a PDF or CSV. You can download the file or email the auditor a secure link that stays valid for 14 days.
How are delivery temperatures captured?+
For chilled and meat runs, drivers record the van temperature and a product probe reading in the driver app when they complete the drop. The reading is checked against your target, saved to the order, and a failed reading is flagged for review.
What is a mock recall?+
A timed practice recall. You pick a lot, Open Pantry traces where it went, and you reconcile the quantities. The drill and its time are saved as a record, so you can show you have tested your recall process.
Which plan includes food safety?+
Recall notices, mock recalls and product allergens are available on every plan. Goods-in checks, daily checks and certificates are part of the Enterprise plan. See our pricing page or book a demo to find the right fit.
Does it work with quality hold and lot tracking?+
Yes. Recalls use your lot tracking to find every customer, and when quality hold is switched on a failed goods-in line or a recalled lot is held so it cannot be picked or sold until you release, write off or return it.
