Sage Integration: Finalise the Order, the Invoice Is Already in Sage

Open Pantry connects your wholesale operation to Sage Accounting. Run products, customer pricing, picking and delivery in Open Pantry; when an order is finalised its sales invoice is created in Sage automatically — posted to your own ledger accounts and tax rates, matched to the contact you already have, and never typed a second time.

  • Finalised orders become Sage sales invoices, with picked quantities
  • Your Sage contacts and products matched before go-live, so nothing duplicates
  • Payments recorded against the invoice, and Sage payment status read back

The order is already done. Why is someone typing it into Sage?

Every delivered order keyed a second time into Sage by hand

Duplicate contacts, because an import never matched what was already there

Tax treatment and freight decided line by line, from memory

Nobody can say which invoices actually reached Sage this week

Connect Sage Once, Then Let It Run

1

Sign in to Sage

Connect from Open Pantry with your Sage sign-in and choose the business you invoice from. Nothing is written to Sage at this stage.

2

Preflight and choose the source of truth

The onboarding wizard checks the connection, then asks which system leads for customers and products. Your answer governs what happens next.

3

Match your existing Sage records

Your Sage contacts, products, ledger accounts and tax rates are read into a staging area and matched against Open Pantry. You review the matches before anything is created.

4

Invoices flow as orders finalise

From then on, finalising an order creates its sales invoice in Sage with the contact, ledger accounts and tax rates resolved, and each invoice shows its own sync status.

Matched from Sage, staged before anything is written

If your customers and products already live in Sage, that is where setup starts. Open Pantry reads your contacts, products, ledger accounts and tax rates, matches them against your Open Pantry records, and shows you what it matched and what it is unsure about. Nothing is created in Sage, and nothing is overwritten in Open Pantry, until you say so.

  • Sage contacts and products read into staging, not straight into your data
  • Ledger accounts and tax rates read so mapping uses your own
  • Confident matches linked; the rest queued for you to review
  • An explicit source-of-truth choice before seeding runs

A finalised order becomes a Sage sales invoice

Finalise an order in Open Pantry and its sales invoice is created in Sage — contact, line items, the quantities actually picked, delivery and tax all carried across. If the customer is new to Sage, the contact is created for you; if they already exist, the invoice attaches to them.

  • Invoices carry the quantities that were picked, not the quantities ordered
  • Contacts matched first, created only when there is no match
  • Send automatically on finalise, or yourself from the order
  • An invoice can be voided in Sage from Open Pantry when an order is reversed

Your ledger accounts, your tax rates — mapped once

Sales post to the ledger account you choose, freight to its own account, and every line follows the Sage tax rates you already use. For liquor suppliers, wine equalisation tax posts to its own account — and an invoice carrying WET without a WET account is stopped before anything reaches Sage.

  • Sales and freight mapped to your own ledger accounts
  • Tax-free and taxable lines mapped to your Sage tax rates
  • Wine equalisation tax posted to its own ledger account
  • Set at onboarding with your bookkeeper, then left alone

Payments both ways, and purchase bills too

Payments taken in Open Pantry are recorded against the matching Sage invoice, and when an invoice is paid in Sage that status comes back, so an order is not chased after it has been settled. Supplier invoices you process in Open Pantry can post to Sage as purchase bills. Every invoice shows whether it is awaiting sync, synced or failed.

  • Open Pantry payments recorded against the Sage invoice
  • Sage payment status read back to settle the order
  • Supplier invoices posted to Sage as purchase bills
  • Per-invoice sync status, with failed invoices listed for retry

A CSV export is not an integration.

Exporting a file and importing it into Sage moves the typing around; it does not remove it. Nothing is matched, so contacts and products breed. Nothing is mapped, so tax is decided by whoever runs the import. And nothing reports back, so the first sign that a week of invoices never landed is a customer asking why they have not been billed. A sync built into the system that raised the invoice knows what was picked, who it was for and where it belongs — and tells you when it could not deliver it.

Questions Suppliers Ask About the Sage Integration

Does Open Pantry integrate with Sage?+
Yes. Open Pantry connects directly to Sage Accounting. Finalised wholesale orders are created as sales invoices in Sage with the contact, line items, ledger accounts and tax rates already resolved, so nobody re-types a sale that has already been processed.
Which version of Sage does it connect to?+
Sage Accounting, the cloud accounting product, connected with your Sage sign-in. If you run a desktop or on-premise Sage product, talk to us before you sign up so we can confirm what is possible for your setup.
Do invoices go across automatically?+
Yes, when an order is finalised — or you can send invoices yourself from the order if you prefer to control timing. Either way, each invoice shows whether it is awaiting sync, synced or failed.
Can Open Pantry use the customers and products already in Sage?+
Yes. The onboarding wizard reads your Sage contacts, products, ledger accounts and tax rates into a staging area, matches them against Open Pantry and shows you the result. Nothing is created in Sage and nothing is overwritten in Open Pantry until you confirm.
Will it create duplicate contacts in Sage?+
It is built not to. Open Pantry matches against your existing Sage contacts first and only creates a new contact when there is genuinely nothing to match. Customer details changed in Open Pantry can be updated on the Sage contact too.
How are ledger accounts and tax handled?+
You map sales and freight to your own Sage ledger accounts, and lines follow the tax rates your Sage business already uses, so tax-free and taxable lines sit correctly on one invoice. Liquor suppliers can post wine equalisation tax to its own account.
Do payments sync?+
Yes. Payments collected through Open Pantry are recorded against the Sage invoice, and when an invoice is marked paid in Sage that status is read back so the order is settled in Open Pantry and not chased.
Do credit notes sync to Sage?+
Credits raised in Open Pantry are handled in Open Pantry first. Sending credit notes to your ledger is supported where your provider supports it; for Sage, check with us during onboarding how credits will be handled for your business.
Can supplier bills go to Sage as well?+
Yes. Supplier invoices you process in Open Pantry can be posted to Sage as purchase bills against your own expense accounts, along with supplier credits on those bills.
Does it sync prices from Sage?+
No. Pricing lives in Open Pantry, where customer price lists, exceptions and promotions are managed. Price changes made in Open Pantry can update the product’s selling price in Sage.
Which plan includes the Sage integration?+
Accounting integrations, including Sage, are part of the Pro plan; ERP integrations sit on Enterprise. The pricing page sets out exactly what is included in each.
