Customer Pricing & Promotions: Every Customer on the Right Price

Customer-specific pricing lets each venue see and pay their own negotiated prices — driven by price lists, exceptions and targeted promotions instead of spreadsheets and memory. In Open Pantry, pricing flows everywhere automatically: the customer’s app, the order, the invoice and your accounting system all agree, every time.

Wholesale pricing lives in too many heads

Negotiated prices tracked in spreadsheets, inboxes and “ask Dave”

Cost rises that never make it to customer prices — margin quietly bleeding

Specials announced by mass text that half your customers never see

The nightmare scenario: one customer seeing another customer’s price

One pricing engine, everywhere at once

1

Build price lists

Standard, tiered by customer group (cafés, restaurants, distributors), or fully bespoke.

2

Add exceptions

A negotiated price for one product for one customer overrides their list. Exceptions always win, so deals are honoured exactly.

3

Target promotions

Pick products, pick customers (all, groups, or actual purchasers of a product), set dates — it starts and ends automatically.

4

Prices flow through

App, order, pick slip, invoice and accounting sync all use the same price. No re-keying, no mismatches.

Unlimited price lists

As many lists as your business needs — trade tiers, contract customers, house accounts. Assign customers to lists and manage the list, not 400 individual venues.

Price exceptions that always win

A customer’s negotiated exception outranks the list price, so a special deal never gets clobbered by a bulk update. Update your list, keep your promises.

Promotions with real targeting

Run specials for all customers, chosen groups, or specifically the venues that already buy a product. Set start and end dates and the promotion goes live and switches itself off on schedule.

  • Per-customer limits stop one buyer clearing your whole special
  • Margin checks show what a price change does before you commit

Specials your customers actually see

Promotions appear in a dedicated Specials tab in your store and app, and you can notify customers in-app or by email when a promo launches or is about to end.

Spreadsheet pricing breaks exactly when it matters

Spreadsheets don’t stop a customer being quoted the wrong tier, don’t update the app when your costs move, and don’t end a promotion at midnight. A pricing engine does — and it applies the same price at every step from cart to Xero, which is the part spreadsheets can never do.

Questions Suppliers Ask About Customer Pricing & Promotions

How do I set different prices for different customers?
Create price lists for customer groups (e.g. cafés vs restaurants vs distributors), assign each customer to a list, then add per-customer price exceptions for individually negotiated deals. Exceptions override list prices, so every venue automatically sees and pays exactly their agreed price in your store, app and invoices.
Can each customer see only their own prices?
Yes. Every customer logs in to their own account and sees only their pricing. There is no screen where one venue can see another venue’s prices — pricing privacy is structural, not a setting you can get wrong.
What happens when my costs go up — do I update 400 customers one by one?
No. Update the price list and every customer on it updates at once. Customers with negotiated exceptions keep their exception (deals are honoured) until you change it — so a bulk update never accidentally breaks a contract price.
What’s the difference between tiered pricing and volume discounts?
Tiered pricing gives different customer groups different price levels — your café tier pays differently from your distributor tier, on everything. Volume discounts change price with quantity purchased on an order. Most wholesalers run tiers as the backbone and use promotions for quantity-driven deals.
How do I run a special for only some of my customers?
Create a promotion, choose the products, and target it: all customers, selected groups, or just the venues that already purchase those products. Only targeted customers see the promotional price.
Can promotions start and end automatically?
Yes. Set start and end dates when you create the promotion — it goes live on schedule and reverts to normal pricing automatically when it ends. No midnight spreadsheet edits.
How do customers find out about my specials?
Promotions appear in the Specials tab of your store and app, and you can notify targeted customers when a promotion launches — so specials reach the buyers they’re for, not just whoever happens to open the app.
Can I stop one customer buying my whole promotion?
Yes — set a maximum quantity per customer on a promotion and the cart enforces it at checkout.
Will promotional and exception prices flow through to invoices and my accounting system?
Yes. The price the customer saw at checkout is the price on the order, the invoice, and the record synced to Xero, MYOB, QuickBooks, Sage or Zoho Books. One price, end to end.
Can I see the margin impact before I change a price?
Yes — product pricing shows live price, margin and profit together, and margin analytics show gross margin by product and customer from real cost data, so you can see what a change does before and after.
Can I hide products or prices from certain customers?
Yes. Product visibility and pricing are per-customer — venues see only the range and prices you’ve given them, and nothing is public without a login.
What happens to pricing when a promotion ends mid-standing-order?
When a promotion ends, pricing reverts to the customer’s normal list or exception price on their next order. Standing orders always price at the rules current when the order is generated.
Is there a limit on price lists or exceptions?
No — the Pro plan includes unlimited price lists and unlimited price exceptions. See our pricing page.
