POULTRY WHOLESALE

Poultry Wholesale Software: Ordered Overnight, Weighed, Delivered by Six

Open Pantry is ordering software for poultry suppliers. Orders arrive overnight through your own app, by email or by text and land in one list before your cut-off; standing orders place themselves; birds are weighed as they are packed and billed at that weight; and every stop on the run carries a live ETA — with temperature recorded at the door if you switch it on.

  • Overnight orders from every channel in one list by cut-off
  • Birds weighed at pack and billed at the weighed figure
  • A live ETA on every stop, and fewer 6am phone calls

One Night’s Orders, One Morning’s Run

1

Orders land in one list

Your app, your online store, email and text all arrive in the same place, and your cut-off closes the night — so what the floor sees is the whole job, not the part that made it onto a sheet.

2

Standing orders fill themselves in

The kitchens that take the same birds every week do not type it again. Their order is created for them on the cycle you agree, priced at this week’s price.

3

Packed and weighed

Pick slips run on a tablet in run order. Weight-based lines are weighed as they are packed, and that weight becomes the delivered quantity.

4

Out on the run

The driver works a routed run with a live ETA on every stop, records temperature at the door if you have that switched on, and the invoice goes out from the weights.

The order that places itself, week after week

Poultry demand is habitual. The bistro that takes twenty size-16 birds and a carton of Maryland does it again next week, and the week after. Save it once as a standing order and Open Pantry creates the real order on the cycle you agree — at the current price, with the account re-checked, and pausable for as long as they are closed.

  • Runs every 7, 14 or 28 days on the cycle you choose
  • Current prices applied each time it runs, not the price it was set at
  • Account status and credit re-checked before it places
  • Paused or edited at any time, without deleting it

Ordered, weighed and billed are three different numbers

A kitchen orders twenty size-16 birds. What goes on the truck weighs 32.18 kilos. Open Pantry keeps all three figures against the line: what was ordered, what was weighed at pack, and what was billed. The invoice uses the weighed figure — over or under — so the conversation about the bill is finished before the delivery arrives.

  • One entry per carton on the weigh sheet as it is packed
  • Typed in, or read straight from a connected scale if you use one
  • Billed over or under the ordered amount, honestly either way
  • Set per product, so only weight-based lines behave this way

The run your customers can actually see

The call a chef makes at six in the morning is nearly always a question the app has already answered. Runs are routed and ordered, each stop carries a live ETA, and the drop is recorded when it happens — so the answer to “where is it?” stops being a person in the office guessing.

  • Routed runs with the stops in the order they are driven
  • A live ETA per stop, not “sometime this morning”
  • Proof the drop happened, recorded at the door
  • Fewer calls to the office during the worst hour of the day

Temperature at the door — when you turn it on

Cold chain on poultry is a question you want answered before it is asked. Open Pantry can have the driver record the van and product temperature at each stop, and the pass, warn or fail verdict is worked out on our side against the target you set rather than accepted from the app. It is off until you switch it on, and whether customers see the reading is a separate setting again.

  • Van and product temperature recorded by the driver at the stop
  • Pass, warn or fail decided server-side against your target
  • Off by default — nothing changes on your runs until you enable it
  • Showing the reading to customers is a separate choice

M&J Chickens are a poultry wholesaler running exactly this day: orders arriving overnight, birds packed before dawn and venues expecting delivery by six. Open Pantry moved their ordering out of calls and messages into one digital workflow, on an app carrying their name.

With Open Pantry, we launched our own fully branded ordering app — it’s helped us protect our customer base, move to digital ordering, and deliver a much better experience to our venues.

Nobody wins the night shift by typing faster.

The usual answer to overnight orders is to start earlier: someone takes the texts, someone types the run sheet, someone reads the weights off the cartons in the morning. It works, and it costs a person’s night every night — and it fails quietly, because the order that was misread at 3am is not found until a chef opens the box. Every one of those steps is a step the system can take instead, and it takes them the same way at seventy orders as at seven.

Questions Poultry Suppliers Ask

Is Open Pantry built for poultry suppliers?
Yes. Poultry wholesalers run overnight ordering, weight-based lines, habitual repeat orders and very early delivery windows, and Open Pantry handles all four. M&J Chickens, one of our customers, runs this exact day on it.
How late can venues order?
As late as you allow. You set the cut-off time and which days you deliver, and you can run a different cut-off on each day of the week or give an individual customer their own. Orders after the cut-off go to the next delivery day rather than onto tonight’s run.
Can regular customers have a repeating order?
Yes. A standing order saves their usual products and quantities, and Open Pantry creates the real order for them every 7, 14 or 28 days. Each run applies the current prices and re-checks the account, and it can be paused or edited at any time — pausing holds it until you switch it back on.
How are whole birds billed when the weight varies?
With catch weight. Flag the product, and each carton is weighed as it is packed — typed in, or read from a connected scale if you use one. The invoice bills the weighed total rather than the number ordered, whether that is over or under.
Can customers see where their delivery is?
Yes. Runs are routed and each stop carries a live ETA, and the drop is recorded when it happens. That replaces most of the calls the office fields between six and eight in the morning.
Does Open Pantry record delivery temperatures?
It can. The driver records the van and product temperature at the stop, and the pass, warn or fail verdict is calculated on our side against the target you set rather than taken from the device. It is off by default — nothing changes on your runs until you switch it on.
Do customers see the temperature reading?
Only if you choose to show it. Showing readings to customers is a separate setting from recording them, and it is off by default too, so you can start by capturing the record for yourself and decide later whether it becomes part of what the venue sees.
Do my venues have to use an app?
No. They can order through your own branded app and online store, or keep emailing and texting exactly as they do now. Every route lands in the same order list, so you are not running two processes while customers move across.
Does it connect to my accounting system?
Yes. Invoices sync to Xero, MYOB AccountRight, QuickBooks Online and eight other ledgers, mapped to your own account codes and GST treatment, carrying the weighed quantities across without anyone entering them twice.
How long does it take to get going?
Most suppliers are taking live orders within a few weeks. Your catalogue and customer list are loaded for you, catch weight is switched on for the lines that need it, and you can run alongside your current process while venues move across.
