Sales Team CRM: Your Reps, Their Customers, Real Orders

Open Pantry’s Sales Team CRM gives a food wholesaler’s reps one place to work their accounts and leads, inside the same system that takes the orders. Each rep opens on My day, sees what every customer usually buys, logs calls and visits in a tap, plans routes, works a pipeline and places orders or quotes on the spot. Managers see every rep against target, with sales credited automatically to whoever owned the account that day.

  • Account pages built from real orders: usual items, stopped lines, pricing review dates and a Reorder usual button
  • Leads, visit routes and your own pipeline stages, with follow-up tasks suggested for you
  • Targets with live pace, a team view for managers and commission on credited sales

Your Sales Team Works From Memory and Text Messages

A customer quietly stops buying spinach and nobody notices until the account has gone

Reps take orders on the road and someone retypes them back at the office

The CRM lives in another tool, so sales are typed in twice and never match the books

Every month ends with an argument about which rep gets credit for which sale

How the Sales Team CRM Works

1

Give each rep their accounts

Assign customers to reps from the customer record. Add the Sales rep teammate role, or give any teammate a CRM section.

2

Reps start on My day

Today’s calls, visits and follow-ups, with suggestions such as a customer who missed their usual order day or a pricing review coming up.

3

Log, order or quote in one place

Quick-log a call or visit, reorder the usual, place an order on the customer’s own prices, or send a quote.

4

Managers watch the pace

Every rep’s sales, calls and visits against target, pipeline by rep, and a Needs you list of things waiting on a manager.

Account pages built from real orders

Every customer has one page: the people who decide, the pricing agreement and its review date, the visit tier, what they usually buy over the last 12 weeks, and lines they have stopped buying. Calls, visits, samples and orders sit on one timeline.

  • Reorder usual, Place order and Quote buttons
  • Quick log with outcome and next follow-up
  • Reps can request a credit; a manager approves it

Leads and visit routes

Keep your own list of venues to win, add them by search, by hand or from a spreadsheet, and see them on a list or a map. Tick a few and add them to a day’s route, or move them into the pipeline. Duplicates are caught on phone, website and name.

A pipeline with your own stages

Build the boards and stages that match how you win venues, from first contact to sample to trial order to won. Cards show weekly value, owner and next step, and flag overdue follow-ups and deals that have gone stale. Lost deals record a reason from your own list.

Targets, pace and fair credit

Set targets for sales, calls, visits, new leads, samples and accounts won. Pace counts working days only, skipping your days off and each rep’s leave. Every order is credited to the rep who owned that customer on the day it was placed, whoever placed it, so commission is never a debate.

Why not use a general-purpose CRM?

A general CRM doesn’t know what your customers order. Reps type sales in by hand, orders still get retyped into the ordering system, and nobody agrees on who gets the credit. The Sales Team CRM sits on top of the orders themselves, so usual items, stopped lines, targets and commission come from real sales, and a rep’s order goes straight to picking.

Questions Suppliers Ask About the Sales Team CRM

What is the Open Pantry Sales Team CRM?+
It is a CRM for a supplier’s own sales reps and sales manager, inside the Open Pantry supplier app at Reports → CRM. Reps work their customers and leads, log calls and visits, place orders and quotes, and track targets. Managers see the whole team. Because it sits on your real orders, nothing is typed in twice.
How is this different from Customer Management?+
Customer Management is the record of every customer: their prices, delivery days, credit terms and order history. The Sales Team CRM is the working layer for reps on top of it: My day, tasks, leads, pipeline, visits, targets and commission. See the Customer Management page for the customer record itself.
Which plans include it?+
The Sales Team CRM, including the rep phone app, is on the Pro Standard and Enterprise plans. Pro Lite accounts see the CRM tab with an upgrade prompt, and the restriction is enforced on the server, not just hidden in the screen. See the pricing page for current plans.
Who gets credit for a sale?+
The rep who owned the customer on the day the order was placed, whoever placed it: the customer in their app, the rep, or the office. Moving a customer to another rep only moves future sales. Past sales, targets and commission stay with the rep who earned them, and cancelled or credited orders reduce the rep they were credited to.
Can reps place orders and quotes for customers?+
Yes. From the account page a rep can reorder the usual, build an order with the customer’s last quantities pre-filled, or switch to a quote. Orders use the customer’s own price list and go through the normal checkout, so minimum order and credit checks still apply.
Does it suggest who to call?+
Yes. Tasks are suggested automatically: a customer who hasn’t ordered by their usual day, spend that has dropped against their recent average, a pricing review due within 30 days, and sample feedback a few days after a sample. Each can be dismissed with a reason. Automatic follow-ups create tasks only; they never message your customers.
Is there a mobile app for reps on the road?+
Yes. Reps get a phone app with today’s route, the next visit, check-in, reorder usual and quick notes. It works offline: everything saves on the phone first and syncs later, and each order carries its own ID so a retry never sends it twice. Orders arrive as draft carts and go through normal checkout.
Can a rep see other reps’ customers and leads?+
That is your choice. In Settings → What reps can do, you decide whether reps can see teammates’ work, import or export leads, take over a lead, or see others’ targets. Reps always see their own accounts. Owners and managers see everything.
How do targets and pace work?+
You choose which targets to track, such as sales, calls, visits, new leads, samples, trial orders and accounts won, by day, week or month, with a team value and per-rep overrides. Pace counts working days only and allows for your days off and each rep’s leave, so On pace, Behind and At risk are fair.
Can I import my existing leads?+
Yes. Leads can be added by business search, by hand or from a CSV file, and exported again. Duplicates are matched on phone number, website and name plus suburb. Importing is open to owners and managers, and to reps if you switch that on.
Do I need a separate CRM subscription?+
No. The Sales Team CRM is part of Open Pantry on the plans above, using the customers, products, prices and orders already in your account. There is nothing to sync between two systems, and orders taken by reps flow into picking, invoicing and your accounting software like any other order.
