Getting supplier invoices into Open Pantry
The Orders & Invoices section is where your supplier bills live. The Invoices tab shows everything that has come in, what needs your attention, and what's ready to go to your accounting system.
Ways to get invoices in
- Drag and drop — upload photos, PDFs or scans, in bulk. Open Pantry reads the supplier, the invoice number, the dates and every line.
- Email-in — if your account shows a dedicated invoice email address, you (or your suppliers) can forward invoices straight to it and they'll appear in the inbox automatically.
- Connected suppliers — invoices from suppliers you order from through Open Pantry attach themselves to the matching order.
Open Pantry knows what it's reading
Documents are classified automatically:
- Invoices go to the review queue.
- Statements are recognised and set aside — a statement lists invoices you already have, and approving one would mean paying them twice, so it's never treated as payable.
- Credit notes are routed to the Credits tab, and matched against your outstanding credit requests automatically.
- If a document genuinely can't be read, you'll see the actual error — never a silent empty result.
Invoices from suppliers you haven't set up
When a bill arrives from a supplier not yet in your account, nothing is created behind your back. It sits in a queue where you choose: confirm them as a new supplier, merge them into an existing supplier record, or dismiss the document. See Adding a new supplier from an invoice.
Filter pills (To review / Reviewed / Sent to accounting) and the money strip across the top keep the state of your paperwork visible at a glance.
