QR ordering codes: let staff order by scanning a card

Quick answer: A QR ordering code is a printed card your staff scan with any phone to order from a pantry list — no app and no login. Create one from Teammates → Add teammate by choosing QR ordering code in the Permissions list.

Creating a code

  1. Click the ☰ icon at the top left, then your venue name at the bottom of the menu, and choose Teammates.
  2. Click Add teammate. In Permissions, choose QR ordering code.
  3. Name this code — fill in What is it for? (for example “Kitchen — Cool Room”). Staff see this when they scan, and it shows on every order the code places. Where will the card live? is just for your records.
  4. What can it order? — tick one or more pantry lists. The code can only order from these. Leave Show prices off if you’d rather casual staff didn’t see what you pay.
  5. Limits — keep Limit what one order can spend ticked and set Most one order can come to (it starts at $500). This counts goods and tax, not delivery.
  6. Click Create code, then Print card.

Print it straight away. The QR image is shown only once. If you reopen the code later you’ll see its details but not the QR. If a card goes missing, revoke it and make a new one.

You need at least one pantry list before you can create a code.

How staff use it

  1. Scan the card with a phone camera and tap Start ordering.
  2. Add quantities from the list, then tap Review order.
  3. Tap Send order. The supplier confirms it as usual.

If an order is under a supplier’s minimum, the button reads Under the minimum order and it can’t be sent. Orders over the code’s limit are refused too.

Keeping track

Codes appear in your Teammates list with a QR code chip, showing the lists, the spend limit, whether prices are hidden, when the code was last used and how many orders it has placed. Orders it places show in your order history under the code’s name.

Revoking a code

Open the ⋯ menu on the code’s row and choose Revoke code. Any phone using it stops ordering straight away and the printed card stops working. This can’t be undone — to replace it, create a new code and print a new card.

Tip: without a spend limit, anyone who photographs the card can place orders of any size on your account until you revoke it. Always set a limit.
