How do I auto-forward customer order emails from Gmail or Outlook?

Quick answer: Copy your order import address from Orders → Imported Orders (“Forward orders to this email”), then set up a Gmail filter or an Outlook rule that forwards order emails to it. Gmail sends its confirmation to us, not you — we approve it automatically and the screen shows Gmail forwarding confirmed within a minute.

Where to find your address

  • At the top of Orders → Imported Orders, next to Forward orders to this email.
  • In Company Profile & Settings → Import by email → Customer orders. Click Copy to copy it.

Anything sent to that address is read automatically and appears in Imported Orders for you to confirm.

Gmail or Google Workspace

  1. In Gmail, open Settings (⚙) → See all settings → Forwarding and POP/IMAP.
  2. Click Add a forwarding address, paste your Open Pantry address and click Next.
  3. Gmail sends a confirmation email to that address — which means to us. You don’t need to find a code. Come back to Open Pantry and within a minute the address shows Gmail forwarding confirmed for your mailbox.
  4. Create a Gmail filter (for example, from your customers, or subject contains “order”) and choose Forward it to your Open Pantry address. That way only order emails are forwarded.

If we ever can’t approve it for you, the status line shows a code instead, with a Copy button. Enter that code in Gmail to finish.

Outlook or Microsoft 365

  1. In Outlook, open Settings (⚙) → Mail → Rules → Add new rule.
  2. Set the condition (from your customers, or subject contains “order”) and the action Redirect to your Open Pantry address.
  3. Save the rule. There is no confirmation step. Redirected emails keep the original sender, so we can match the customer automatically.

If Outlook says forwarding is blocked, your Microsoft 365 admin needs to allow external forwarding (Anti-spam → Outbound policy).

Other email systems

Set up a forwarding rule to your Open Pantry address, or simply give the address to your customers so they send orders to it directly. PDF attachments, purchase orders and plain-text emails all work.

Checking it’s working

Click the info icon next to Auto-process threshold on the Imported Orders page to see the forwarding steps and your live forwarding status. Then send yourself a test order and watch it arrive in Pending Review.
