Card surcharges: country default, your own rate and per-customer fees

Quick answer: If card surcharging is allowed on your account, you can add a percentage to invoices your customers pay by credit card. Open Pantry may set a default rate for your country. You can keep it, set your own rate, or switch the surcharge off. Customers can also have their own rate.

Where do I set my card surcharge?

  1. Open the account menu (top right) and choose Billing.
  2. Open the Stripe tab.
  3. In the Card payment fees box, find Credit card surcharge.

If you don’t see Credit card surcharge, surcharging isn’t available on your account. Contact Open Pantry if you think it should be.

What is the country default?

Open Pantry can set a default surcharge for each country. If your country has one and you haven’t set your own rate, you follow it automatically. You’ll see a note like: “You’re using the default surcharge for your country (1.5%). Changing it here sets your own.”

Following the default means that if the country rate changes, your rate changes with it. There’s nothing to do.

How do I set my own rate?

  1. Turn on the Credit card surcharge switch.
  2. Enter your rate in Surcharge percentage. It saves as you type.

Once you’ve set your own rate, the note says “You’ve set your own surcharge” and shows your country’s default for comparison. Your rate stays the same even if the country default changes.

To stop surcharging, turn the switch off. This also counts as your own setting, so a country default won’t turn it back on.

How do I go back to the country default?

Click Use the country default in the note under the switch. You’ll see “Now using the country default surcharge”, and your rate goes back to your country’s rate.

Can I charge one customer a different rate?

Yes. Open the customer (Customers → Customer List → the customer) and go to the Payment & Terms tab. Under CARD PROCESSING FEE:

  1. Click Edit.
  2. Untick USE SUPPLIER DEFAULT.
  3. Enter the customer’s Rate and click Save Changes.

The fee applies to orders paid by card and shows at checkout and on invoices. Leave USE SUPPLIER DEFAULT ticked to give the customer your account rate.

Tip: Surcharge rules differ by country and can change. Check what is allowed where you trade before you turn a surcharge on.
